JOB TITLE: Office Manager/Customer Service Assistant - Retail

JOB PURPOSE: Customer Service Assistant/Office Manager
DUTIES AND RESPONSIBILITIES INCLUDE:
General Customer Service:
Responding to emails
Handling customer complaints
Handling customer queries
Responding to delivery queries
Ensuring customer returns are dealt with- refunds and exchanges
Liaising with warehouse manager to ensure deliveries and returns are processed efficiently
Answering the telephone and responding to all customer queries.
Office Management Details Include:
Ensuring stationary is replenished
Ensuring kitchen items are replenished i.e. Tea and coffee
Ensuring bathroom items are replenished
Ensuring all office technology is working correctly
Promptly investigating any issues that arise with any technology within the office
Ensuring the office and showroom looks clean and presentable at all time for meetings
Assisting directors with general administrative duties
Opening post and sending daily mail out for all the office staff
Handling invoices and statements and general paperwork
Always ensuring general office duties are met.
General housekeeping and data management of all database applications used by Pink Lining which include SAP, MAGENTO, and any other outside databases used by companies we work with
Raising invoices, sales orders, credit notes and anything else that maybe necessary through our internal databases
Organising and attending photo-shoots when required
Assisting Creative Director with projects such as Look book, Brand book, POS and smaller projects through all stages
Organising transportation or couriers for office staff
Assisting with the preparation of office meeting and offering drinks and refreshments for visitors.
Typing up minutes for internal office meeting once per week or when required
Website and Social Media:
Working everyday on Magento to ensure smooth operation of the Pink Lining Website
Ensuring the website is working correctly at all time with the correct information including product offering, delivery times, prices and investigating any issues should they arise
Responding to customers through our social media outlets
Assisting social media manager in managing Facebook and Twitter
Working as a team member of Pink Lining at all times with duties that maybe required outside the realms of this job description as and when required to support the Pink Lining Management Team.
